You worked hard for every subscriber, and setting some aside can feel like undoing that work. But emailing fewer people, when they’re the right people, usually grows your reach instead of shrinking it.

Here’s the short version: to clean your list, find the subscribers who haven’t engaged with you in a certain amount of time (6 months or 90 days for example), then archive them or leave them out of your regular sends. A smaller, engaged list lands in more inboxes, so the people who actually want your emails are the ones who see them. Below is why that works, and how Flodesk handles the hard part for you.

Why cleaning your list improves deliverability

Whether you reach the inbox in 2026 depends heavily on engagement more than anything else. Gmail, Yahoo, Apple, and Outlook are all watching how people treat your email: whether they open it, click it, reply, and keep it out of spam.Your sender reputation isn’t a fixed score sitting on your domain. It’s closer to a running tally of how your audience responds to what you send.

That’s the piece most senders miss. When you keep emailing people who never engage, those inbox providers read the silence as a sign your mail isn’t wanted. And they don’t apply that only to the people ignoring you. They start filtering your emails for everyone, including the subscribers who genuinely want to hear from you.

So the contacts who never open aren’t neutral. Every time they ride along on a send, they drag your inbox placement down for your most loyal readers. Clearing them out protects the reach of the audience that’s actually paying attention, and it’s the single most effective deliverability move most senders never make.

What this looks like in real numbers

Numbers make this real, so here’s a member we started working with in late February. She came to us sending high volume to a mostly cold list and getting almost nothing back. On Gmail, her open rate was 1.19% and her click rate was 0.11%. The emails were going out, but the people receiving them had checked out long ago.

We helped her set her cold subscribers aside and focus on the audience still paying attention. Then she did the patient work of rebuilding with warming, and kept it up.

Here’s what changed between the two periods:

December 1 to March 1: 28,118 emails sent, 3,953 opens, 200 clicks

March 1 to July 10: 17,154 emails sent, 10,132 opens, 440 clicks

She sent 39% fewer emails and got more than twice as many clicks. Not a prettier click rate on paper, more actual clicks: 440 real people, up from 200. That’s the number to trust most, because clicks can’t be inflated by inbox privacy features the way opens can. (Opens tend to run high thanks to Apple’s Mail Privacy Protection, so I never lean on them alone.)

Her Gmail numbers moved the same direction, climbing from 1.19% and 0.11% to 71.56% and 6.07%. Delivery rose, and her bounces more than halved. Fewer emails, a healthier list, more real people clicking. That’s what a clean list buys you.

How to know which subscribers to remove

Not everyone who’s quiet needs to go. Someone who missed your last couple of emails might just be busy. The contacts worth cleaning are the ones who’ve gone cold in a lasting, unmistakable way. A reliable rule of thumb: look for anyone who’s been on your list at least six months, has received at least six emails in that time, and hasn’t opened or clicked a single one.

Six or more chances over half a year, with zero response, tells you what a single quiet week can’t. This person has quietly opted out without ever hitting unsubscribe, and keeping them on your sends only works against you.

How Flodesk does the hard part for you

The tricky part of list cleaning has always been the finding. Digging through your contacts to work out who’s genuinely cold takes time most business owners don’t have. So Flodesk does it for you.

Your account now includes an unengaged subscriber segment that gathers exactly the contacts described above: on your list six months or longer, six or more emails received, no opens or clicks, resubscribes or purchases. It’s a living segment, so people move in and out of it on their own. The moment someone opens or clicks, or makes a purchase in Flodesk Checkout or resubscribes through a form or integration, they leave it automatically and rejoin your engaged audience. You never have to maintain it.

When it’s time to send, that segment appears as a recommended segment to exclude. We make this recommendation on purpose, because for most senders, leaving cold contacts out is the choice that protects inbox placement.

When you’re ready to actually clean, the strongest move is to archive the segment. Archiving pulls those contacts off your active list, so they stop weighing on your sends and your numbers start reflecting the people who want to hear from you. And archiving isn’t permanent. If someone comes back around, or you change your mind, you can unarchive them in a couple of clicks and they return right where they were. Nothing is lost.

One thing worth saying plainly: a group this disengaged is the one you least want to email in a big push. It’s tempting to try to win them all back with a single blast, but that’s the move most likely to undo the deliverability you’re working to protect. Lean on the default, archive when you’re ready, and save your energy for the people already raising their hands.

Let Flodesk do the hard part for you

Your unengaged segment is already built and waiting.
